Co-Author Requirements
NEW THIS YEAR
Are you planning to submit a late-breaking abstract for Neuroscience 2024? Prepare for a change in how co-authors are added.
All co-authors included on abstract author blocks are now required to have a free My SfN account. (Note: Membership is not required to create an account or to be a co-author on an abstract. SfN membership is required to submit an abstract.)
WHAT TO KNOW:
- In the abstract submission form, the abstract’s submitting author will use a search tool to find each co-author, select the appropriate person from the search results, and add them to the abstract.
- The search is an EXACT match on First Name, Last Name, and/or Email Address. Last name is a required field.
- If you cannot find the co-author, verify you’re using the same email address or spelling of the person’s name that they used in their My SfN profile.
- Submitting authors cannot create new accounts on behalf of co-authors.
- Submitting authors will not be able to add co-authors who do not have an SfN account.
- Submitting authors will not be able to edit the First Name, Last Name, or Email Address in the abstract submission form for themselves or co-authors. Any modifications would need to be made in their My SfN profile first.
WHAT DOES THIS MEAN FOR PEOPLE SUBMITTING ABSTRACTS:
- Be proactive! Reach out to all co-authors on your abstract (see sample email text below) to ask them to update their SfN accounts with their current information. If they don’t have an SfN account, they need to create one.
- Make sure you have the right information so you can find your co-authors in the search tool.
- Don’t wait until the extended abstract submission deadline day (Thursday, May 9) when thousands of people will be accessing the site at the same time. Encourage your co-authors to update their information now!
- You will have two opportunities to edit your co-authors:
- After Thursday, May 9, 5 p.m. EDT, submitting authors who finalized their abstracts can unlock their abstracts and edit any portion of the information until the editing deadline of Friday, May 10, 2 p.m. EDT.
- In July, accepted abstracts will have a three-week period where the author block of the abstract can be edited.
- Use the following sample email text to notify your co-authors of what they need to do:
Hello,
I’m submitting my abstract to Neuroscience 2024, and I would like to name you as a co-author. To be added to my abstract, you must have a free My SfN account. You can create your My SfN account here: https://my.sfn.org/Security/Sign-In
Once you create your My SfN account, or if you already have one, it’s important to update these fields in your profile so that your information displays correctly once I add you to my abstract:
- First Name
- Last Name
- Institution
Abstract submissions open Tuesday, April 23, and close Tuesday, May 7, and it would be a great help to me if you can get your My SfN account ready before then.
If you have any questions about how you can set up your My SfN account to be added as a co-author, you can learn more at www.sfn.org/coauthors.
Thank you for your contributions to my research! Please be sure to follow the instructions above so you can be acknowledged as a co-author on my submission.
Best,
Your Name
WHAT DOES THIS MEAN FOR CO-AUTHORS OF ABSTRACTS:
- Be proactive and help your abstract submitter out by having your SfN account ready and updated with the correct information. The sooner, the better!
- Create a My SfN account if you don’t have one already.
- If you already have a My SfN account but don’t remember your username or password, follow the instructions here under “Do you need help signing into our site?” to access your account, or watch the instructional video below.
- Update your My SfN profile! This will ensure that your account has up-to-date information, including your First Name, Last Name, Email, and Institution so that this information displays correctly when you’re added to an abstract.
